STUDENT ADMINISTRATOR – ECA MARITIME COLLEGE / AVETREADY

About the Role

The Student Administrator is the backbone of our training operation. You’ll support students through their entire journey — from enrolment to certification — while keeping our compliance, communication, and course scheduling running smoothly across ECA Maritime College and our new AVETMISS platform, AvetReady.

You’ll work closely with trainers, assessors, and industry clients from coast guard, fisheries, tourism operators, marine contractors, and government agencies.


What You’ll Be Doing

Student Support & Communication

  • Guide prospective students through enrolment and onboarding

  • Respond to student queries via email, phone, and online channels

  • Maintain a calm, professional, reassuring communication style

  • Manage course welcome packs, schedules, and reminders

Course & LMS Administration

  • Set up and manage LearnDash courses, groups, users, and dashboards

  • Track student progress, outstanding marking, and feedback loops

  • Prepare certificates, statements of attainment, and assessment files

  • Keep our LMS tidy, structured, and compliant

  • Assist with Google Calendar scheduling for classes, practicals, and assessments

Compliance & Data Integrity

  • Maintain AVETMISS-ready student records

  • Enter, cross-check, and validate enrolment data

  • Support ASQA compliance by ensuring all documentation is accurate and audit-ready

  • Use Vettrak and AvetReady to confirm pathways, units, outcomes, and completions

Operational Support

  • Work directly with Kelly on high-priority tasks

  • Assist with industry engagement, course updates, and student licensing information

  • Prepare internal documents, handbooks, and course summaries

  • Coordinate practical bookings, vessel scheduling, and Zoom room logistics

Marine Engineering Trainer & Assessor

Position Overview

ECA Maritime College, one of Australia’s longest-running private maritime RTOs, is seeking an experienced and industry-current Marine Engineering Trainer & Assessor to deliver and assess nationally recognised Marine Engine Driver courses. This role supports students progressing through AMSA licensing pathways and ensures our engineering programs meet the highest standards of safety, compliance, and industry relevance.

The role combines virtual theory deliverypractical vessel-based training, and assessment using our customised LMS and fully developed practical taskbooks.


Key Responsibilities

Training Delivery

  • Deliver structured engineering theory sessions online (Zoom) Monday to Friday.

  • Deliver and supervise practical engineering activities onboard training vessels.

  • Provide clear, accurate instruction aligned to MAR training package requirements.

  • Support students through complex engineering concepts such as fault-finding, operational safety, fuel systems, cooling systems, electrical systems, and emergency procedures.

Assessment

  • Conduct assessments in accordance with the Principles of Assessment & Rules of Evidence.

  • Mark written, practical, and online submissions using our LearnDash dashboards.

  • Record competency outcomes, feedback, and evidence in line with ASQA and AMSA requirements.

  • Ensure all engineering assessments reflect realistic, safe, and up-to-date industry practice.

Industry Relevance & Safety

  • Maintain high safety standards throughout all onboard engineering tasks.

  • Ensure equipment, tools, and training materials comply with maritime engineering requirements.

  • Keep engineering scenarios aligned with AMSA and workplace practices.

  • Provide industry insights that prepare students for real-world operation and maintenance tasks.

Student Support

  • Guide students through engineering concepts, troubleshooting steps, and weekly study expectations.

  • Provide individual feedback through our LMS and feedback systems.

  • Assist students in meeting AMSA sea service and task book requirements.

Compliance & Administration

  • Develop and update TAS, session plans, assessment tools, and learning materials when required.

  • Assist with record-keeping for AVETMISS, ASQA compliance, and internal audits.

  • Participate in validation and moderation of engineering assessments.

  • Follow ECA’s policies and procedures and contribute to continuous improvement.


Qualifications & Experience Required

Mandatory

  • Vocational qualification relevant to the Marine Engine Driver course level (e.g., MED3, MED2, MED1, Marine Engineer Class 3/2/1, or equivalent).

  • TAE40116 Certificate IV in Training and Assessment, or higher.

  • Demonstrated industry currency in vessel engineering operations.

  • Strong understanding of:

    • MAR Engineering units

    • AMSA Marine Orders

    • Workplace safety practices in engineering spaces

    • Vessel engineering systems (fuel, lubrication, cooling, electrical, hydraulics)

Highly Regarded

  • Experience delivering training online via Zoom or similar.

  • Experience with LearnDash, Moodle, or other LMS platforms.

  • Experience working with AMSA-licensed vessels and engineering logbooks/taskbooks.

  • Familiarity with AVETMISS and RTO compliance requirements.

Purpose of the Role

Maritime Master Trainer & Assessor

Position Overview

ECA Maritime College is seeking a qualified and industry-current Maritime Master Trainer & Assessor to deliver nationally recognised training across our Coxswain, Master <24m, Master <35m, Master <45m, and Master <100m programs. This role is central to preparing mariners for AMSA licensing and ensuring they meet the highest standards in navigation, seamanship, safety, and vessel command.

Training is delivered through a blend of online theory via Zoom and practical vessel-based assessments using our fleet and simulator.


Key Responsibilities

Training Delivery

  • Deliver theory sessions online covering navigation, COLREGS, seamanship, vessel handling, meteorology, safety, stability, and command responsibilities.

  • Facilitate practical training onboard vessels (manoeuvring, berthing, anchoring, emergency drills).

  • Use ECA’s LMS (LearnDash) and custom dashboards for structured delivery.

  • Translate complex maritime concepts into accessible, professional training.

Assessment

  • Conduct assessments in compliance with the Principles of Assessment and Rules of Evidence.

  • Assess navigation exercises, stability calculations, voyage planning, and command scenarios.

  • Supervise onboard practical assessments to AMSA standards.

  • Record evidence using digital systems and provide clear, constructive feedback.

Industry & Safety

  • Maintain vessel operations in line with AMSA and COLREGS requirements.

  • Ensure students follow safe working procedures during all practical tasks.

  • Keep training aligned with industry expectations across commercial and government marine sectors.

Student Support

  • Guide students through navigation tasks, chartwork, vessel handling, and licensing pathways.

  • Provide support on sea service, AMSA forms, and course progression.

  • Mentor students in command responsibilities and professional conduct.

Compliance & Administration

  • Update TAS, learning materials, and assessment tools as training package or AMSA requirements change.

  • Maintain accurate AVETMISS and assessment records.

  • Participate in validation, moderation, and continuous improvement activities.

  • Follow RTO policies, procedures, and regulatory frameworks.


Qualifications & Experience Required

Mandatory

  • Vocational qualification equal to or higher than the level being delivered (e.g., Master <24m, Master <45m, Master <100m NC, Master <500 GT NC, or equivalent).

  • TAE40116 Certificate IV in Training & Assessment.

  • Demonstrated industry currency and sea service within the last 5 years.

  • Strong knowledge of:

    • COLREGS

    • Navigation & chartwork

    • Meteorology

Sea Safety Trainer & Assessor (ESS / Fire / Survival / OHS / First Aid)

ECA Maritime College – Brisbane | Practical & Online Delivery


Position Overview

ECA Maritime College is seeking an experienced and safety-focused Sea Safety Trainer & Assessor to deliver the Elements of Shipboard Safety (ESS) and related safety modules. This includes firefighting, survival at sea, emergency response, communication procedures, basic first aid, and WHS/OHS requirements.

This role ensures students gain the essential safety competencies required for maritime qualifications and AMSA licensing pathways.


Key Responsibilities

Training Delivery

  • Deliver classroom and practical training in:

    • Emergency response

    • Firefighting

    • Survival in the water

    • Use of safety equipment (PFDs, EPIRBs, flares, radios)

    • First aid and basic medical response

    • Muster and abandonment procedures

  • Conduct practical demonstrations, drills, and hands-on exercises.

  • Deliver online safety theory sessions via Zoom as required.

Assessment

  • Assess student performance against MARF units of competency (e.g., MARF028, MARF029, MARF030 etc.).

  • Observe practical skills safely and objectively in simulated maritime conditions.

  • Mark written assessments and digital submissions through the LMS.

  • Provide feedback and record competency outcomes.

Safety & Compliance

  • Maintain strict adherence to WHS and maritime safety protocols.

  • Ensure use of safe equipment and emergency gear during drills.

  • Keep safety training aligned with current AMSA, maritime, and industry standards.

  • Report incidents and maintain safety documentation.

Student Support

  • Offer guidance on emergency procedures, vessel safety, and personal survival.

  • Support students new to the maritime sector with essential safety knowledge.

  • Ensure students understand safety obligations and workplace expectations.

Administration & Continuous Improvement

  • Maintain accurate assessment and attendance records.

  • Participate in validation and moderation sessions.

  • Assist with updates to TAS, session plans, and assessment tools.

  • Contribute to improvements in ECA’s safety training delivery.


Qualifications & Experience Required

Mandatory

  • Vocational qualification or AMSA Certificate relevant to ESS delivery (e.g., Coxswain, Master, MED, or above).
